Full Time: Monday – Friday, 9am – 5pm
Location
This is a hybrid role, with your time spread between your home and our Head Office in Hillington, Glasgow.
About the role
Arnold Clark’s Head Office in Hillington, Glasgow, houses both Scotland’s largest in-house Marketing department and an innovative Digital department.
As a Digital and Marketing Administrator, you will be responsible for the smooth running of daily admin for both departments, from incoming calls and email enquiries to travel bookings and even occasional event support. You’ll be happy to help and enjoy working in a fast-paced, exciting environment where every day is different.
Skills and day-to-day activities
You’ll be responsible for handling daily administrative tasks, including raising purchase orders and arranging payment of supplier invoices, travel bookings, holiday and clocking management, email / shared mailbox managememt, ensuring smooth departmental operation. Host Teams meetings where appropriate, manage stock levels of merchandise, uniforms etc.
- Stakeholder relationship management
Engages effectively with internal and external stakeholders, handling incoming calls and email enquiries.
Support department procurement needs including online purchases, processing requests and responding to inquiries, ensuring internal customer needs are met effectively.
- Requirements definition and management
Ensure requests are fully understood and delivered to internal customers' needs, such as team meetings, hotel and travel requirements.
Knowledge and experience
As the Senior Administrator, you will have previous experience as a leader, with a proven track record of supporting and guiding a small team like the Digital and Marketing Administrative team.
You’ll have the ability to communicate with the team and stakeholders inside and outside the Digital and Marketing departments, clearly explaining and presenting information.
You’ll have the ability to apply relevant digital tools and skills for the administrative team, such as Microsoft Office 365 and Microsoft Teams.
You’ll be able to work under general direction and also exercise personal responsibility and autonomy. You’ll plan, schedule and delegate work to others within the administrative team. You will also have strong organisational and time-management skills
With a positive and enthusiastic approach, you will be able to adjust to different work requirements, team dynamics and drive continuous improvements in the Administrative team.
